Due to the nature of these requests, there may be an administration fee. This is purely to cover our employees’ time and associated costs involved with fulfilling your request. Many records are held off-site and require retrieval so the timeframes can vary, however we always do our very best to fulfil requests within the shortest timeframe.

Our hospitals endeavour to provide copies of medical records within the following timeframes:

How long does it take?
Below is an estimate of timeframes to supply the record/s requested. In all cases, requests for access to medical records will ordinarily be completed within 30 calendar days of receipt of a valid request. Where circumstances prevent compliance within these timeframes, the applicant will be advised of the delay and the anticipated completion date.
The hospital will endeavour to provide copies of medical records within:
- 5 business days where records are held on-site and supplied electronically or collected by the patient.
- 7 business days where records are held on-site and supplied by post.
- 14 business days where records are held in off-site storage and supplied electronically or collected by the patient.
- 21 business days where records are held in off-site storage and supplied by post.

Can my doctor/treating practitioner fast track my request, if it’s urgent for clinical care?
Yes, if a treating medical practitioner requires your medical record for urgent clinical care decisions, they can submit a request, and Nexus will aim to provide the information within 2 business days if the record is available electronically.

Why is there a cost?
Medical records aren’t always stored in a format that’s ready to send. Processing a request can involve retrieving records, reviewing documents and securely preparing them for release which takes time. A fee may apply to cover these administrative costs.
